PIU ADMINISTRATIVE OFFICER

Contract: Full-time for 1 year with possible extension based on performance.

Location: Ulaanbaatar, Mongolia

The Objective of the Assignment

The objective of a Project Administrative Officer is to provide essential administrative support, ensuring smooth coordination of project activities, managing documentation, logistics, and communication to help achieve project objectives efficiently.

Detailed Tasks and/or Expected Output

Specific tasks include, but may not be limited to:

  1. Provide comprehensive administrative support to PIU staffs and project consultants, managing daily office tasks such as logistics, scheduling and coordinating meetings, organizing travel arrangements, handling secretarial duties including document printing, photocopying, filing, preparing meeting minutes and memos, responding to routine correspondence and emails, and editing reports and documents.
  2. Oversee the procurement and distribution of office supplies for PIU staff, ensuring the proper upkeep and maintenance of office furniture and equipment.
  3. Assist the Procurement Specialist by posting invitations for bids and consulting service requirements on ADB systems and media, and by preparing small service contracts.
  4. Support the Finance Specialist with payment processing, maintaining financial records, managing petty cash for PIU operations, and monitoring project vehicle expenses.
  5. Perform additional tasks assigned by the Project Coordinator, including providing translation support when needed.

Minimum Qualification Requirement

The Project Administrative Officer shall have (i) A bachelor’s degree in business administration, finance, law, IT or other related discipline; (ii) At least 5 years of work experience in providing administrative support for business operations; (iii) knowledge of an intermediate (written and oral) level English language proficiency is required; and (iv) good team player and excellent interpersonal and communication skills.
